Privacy Policy

Last updated: 2026-10-17

This Privacy Policy explains how BDF Renovation & Construction Inc. ("we", "us") handles personal information for visitors and clients across Newmarket, York Region and South Simcoe.

Information we collect

We collect only what you choose to share when you contact us or request an assessment: typically your name, phone, email, the town of the project (and, if you choose, its street address, which we use only to visit and quote the job), a description of the work, your answers about size, timing, budget and a good time for a visit, and any photos you send. When you use a form we also record your consent, the page you came from and technical details (IP address and browser type) to protect against abuse.

How we use it

  • To respond to your enquiry and arrange a free on-site assessment
  • To prepare and discuss a scope of work
  • To carry out and follow up on agreed work
  • To send you marketing emails only if you ticked the optional box (you can unsubscribe at any time)

Website chat assistant (AI)

The chat on our website is an automated AI assistant, not a person. Your chat messages are processed by AI models that run on Cloudflare Workers AI to answer your question, to check messages for abuse and spam, and to guide you through a few questions about your project. Please do not type personal details in the chat: phone numbers and email addresses are removed before a conversation is saved. A saved conversation (without contact details) is kept for up to 7 days so we can improve answers, then deleted. The chat only passes your contact details to us after you tick the consent box and fill in the contact card, which works like our request form. The assistant never gives quotes; prices come only after a free on-site estimate.

Lead prioritisation

To answer urgent requests first, each request gets an automatic priority score based on what you tell us (type of work, town, timing, budget, photos). Automated tools may also flag a request as possible spam or as a possible duplicate of an earlier one. These are internal aids only: a person at BDF reads every request, nothing is refused automatically, and the score has no legal or similar effect on you. You can ask us how your request was prioritised.

Voice notes

If our form offers an optional voice note and you record one, the recording is stored with your request and turned into text by an AI speech model on Cloudflare Workers AI. Voice notes are deleted with your photos (see Retention).

Automated photo analysis

If you attach photos to a request, one photo may be analysed by an AI vision model on Cloudflare Workers AI to give our team a short internal note (the type of room, visible issues and possible work items). The note never contains prices: every price comes only after a free on-site estimate. It is an internal aid only, a person at BDF reviews every request, and it has no legal or similar effect on you. The note is kept with your request and deleted with it.

Business contacts (partners)

To find possible business partners (for example realtors and property managers), we use public business listings from OpenStreetMap (© OpenStreetMap contributors, Open Database License), company names from municipal building-permit open data (used under that municipality's open government licence) and businesses we add by hand from industry directories such as BILD and RenoMark. From permit and application data we keep only company names and area-level counts; we never keep the names or addresses of homeowners or other individuals. We only email a business at an address it publishes for business contact, once, about a relevant business partnership, with our full contact details and an unsubscribe link. Unsubscribe requests are honoured right away and that business is never contacted again.

Website analytics and cookies

We use Cloudflare Web Analytics, which counts page views without cookies and without identifying you.

We may also use Google Analytics 4, a service of Google LLC, to understand how visitors find and use our website so we can improve it. Google Analytics runs only if you click “Accept” in our cookie banner. Until you accept, and if you click “Decline”, nothing from Google Analytics is loaded and no Google Analytics cookies are set. Your choice is saved in your browser, and you can change it at any time with the “Cookie settings” link at the bottom of every page.

If you accept, Google Analytics sets first-party cookies (named _ga and _ga_…) and records anonymous usage statistics: pages viewed, approximate location at city level, device and browser type, how far you scroll, and a few actions such as tapping our phone number, email or WhatsApp link, opening our chat, or successfully sending a request. For these actions we send only the type of action, the service and town chosen from our lists, and the page section. We never send your name, phone number, email address, street address, messages or photos to Google Analytics. Google Analytics 4 does not log or store IP addresses. Google signals, advertising features and ad personalisation are turned off, and we do not use Google Analytics for advertising.

Google Analytics data is kept for 14 months and then deleted automatically. Google may process it outside Canada, including in the United States. To opt out, click “Decline” or use “Cookie settings”; you can also install the Google Analytics opt-out browser add-on (opens in a new tab) or block cookies in your browser. See how Google uses information from sites that use its services (opens in a new tab) and Google's privacy policy (opens in a new tab).

Sharing and where data is stored

We do not sell your personal information. We share it only with service providers who help us operate, and only as needed: Cloudflare (website hosting, database, photo storage, AI processing and spam checks), Google Gmail (our email), and CallMeBot, a messaging relay that forwards a short new-request alert to the owner's own WhatsApp. These providers may store or process information outside Canada (for example in the United States), where it may be accessible to authorities under local law.

Spam protection

Our request forms and chat booking use Cloudflare Turnstile to check that a real person, not an automated program, is sending the request. When you use a form, your browser connects to Cloudflare and shares technical signals such as your IP address, browser and device characteristics. Cloudflare uses them only to run this check and may process them outside Canada. Cloudflare states that it does not use this information for advertising or to track you across websites. See Cloudflare's privacy policy (opens in a new tab). If the check does not work for you, please call or WhatsApp us instead.

Retention

  • Chat conversations (without contact details): up to 7 days
  • Spam and duplicate check data: 90 to 180 days
  • Photos and voice notes: deleted about 1 year after the project or enquiry is closed
  • IP address and browser details on a request: removed after 2 years
  • Requests that did not become a job: deleted 3 years after the last contact
  • Client records: kept as long as needed for the warranty and as required by tax law
  • Proof of consent: kept for 3 years after the consent ends, as Canada's Anti-Spam Legislation requires us to prove consent

Your choices

You may ask us to access, correct or delete your information, withdraw your consent, or stop contacting you, at any time using the details below. We reply within 30 days. If you are not satisfied, you may contact the Office of the Privacy Commissioner of Canada (priv.gc.ca).
